The Lead Executive Assistant of the Office of the Chairman is responsible for managing the daily operations of the Office of the Chairman and serves as the primary contact for all matters relating to this office. Along with the Chairman's staff of 4 other assistants, the Manager must anticipate the needs of the Chairman and facilitate smooth operation of all 3 offices.

Job Responsibilities (relating to the general management of the Chairman's team of Assistants in the New York, Los Angeles, and St. Petersburg, Florida offices)
Manage the workflow of all three offices and administer a prioritization of pending issues.
Manage NY, FL, and LA office staff, and interact with the Chairman to discuss staffing issues.
Responsible for a system of follow-up on all outstanding internal and external scheduling and miscellaneous issues.
Act as a liaison for all internal Corporate departments to facilitate completion of tasks related to the Chairman's office.
Keep all offices and the Chairman's personal staff apprised of the Chairman's schedule.
Available during business hours for Chairman's questions and issues.
Conduct annual evaluation/raise issues for the staffs of all 3 offices.
Occasional travel to the Los Angeles office (Chairman travels to LA 1 week per month).
Bear ultimate responsibility for all matters that occur in the Chairman's office.

Job Responsibilities (relating to the daily and day-to-day tasks that the office must complete)
Provide all administrative and personal support. Prioritize and delegate to meet strict deadlines.
Determine importance of meeting requests and schedule accordingly.
Oversee arrangements of travel and other accommodations, including comprehensive and detailed itineraries. Coordinate details with flight crew.
Handle heavy volume of incoming and outgoing calls, email, and mail; keep detailed legal records and logs of calls.
Respond to all Executive Office inquires on behalf of the Chairman.
Be versed in dealing and interacting with high caliber executives, representatives from the entertainment industry, politicians, Board Members, and journalists.
Act as liaison with all internal and external offices.
Handle accounts payable, both personal and professional.
Maintain accurate databases electronically and paper copies to include address books, files, and Rolodex contacts.
Interface with Executives, Financial Manager, administrative team, residence staff, boat staff, and flight crew.
Responsible for drafting the weekly staff updates.

Job Responsibilities (relating to the ongoing tasks that the office must complete)
Coordinate meetings, events, and organize materials for participants.
Interact with and direct divisional contacts and vendors.
Oversee domestic staff, as well as timely maintenance, repairs and servicing of area residences.
Provide updates and comprehensive information to Chairman as needed.
Ensure proper coverage for Executive Office.
Oversee invitation request and donation allocations.
Serve as the liaison between Chairman and various boards on which he is a member.
Occasionally work on special projects and special events including screenings, luncheons, business and personal dinners, Holiday arrangements and executive parties, etc.
Provide personal shopping and gift buying services.
Troubleshoot immediate IT concerns.

Job Requirements
Must be available 24/7 to respond to Chairman's needs. Flexibility for after-hours tasks, as well as periodic weekend telephone coverage is required.
A professional demeanor and dress code are expected.
Strict and continual attention to detail in composing, typing, and proofing materials.
Fluency in Microsoft Office suite (Outlook, Word, PowerPoint, Excel).
Must possess interpersonal and communication skills; ability to interact with individuals at all levels of the organization.
Demonstrated poise, tact, judgment, and diplomacy.
Ability to work in a fast paced environment with demonstrated ability to multi-task and to juggle multiple competing tasks and demands.
Accuracy, thoroughness, extreme attention to detail, and efficiency.
Have a failsafe method of follow up for all items.
